Personal data processing information for contractors
The administrator of your personal data is SafetyHeads Radosław Sroczyński based at pl. Konstytucji 3 Maja 3, Poland (hereinafter referred to as SafetyHeads).
SafetyHeads has appointed a Data Protection Officer who you can contact if you have any questions or comments regarding the processing of your personal data and your rights under the provisions on the protection of personal data. SafetyHeads processes the following categories of your data: identification data (name and surname of persons representing the contractor, name of the business entity, NIP, REGON), contact details (phone number, e-mail address) and correspondence (address of the business entity’s registered office, correspondence address), details necessary to prepare the offer and to execute the contract.
SafetyHeads may process your personal data for the following purposes:
preparing an offer to provide SafetyHeads services based on the information provided in the contact form – in accordance with art.6 par.1 lit.a) GDPR;
the conclusion and execution of the contract – in accordance with art.6 par.1 lit.b) GDPR;
documenting the concluded contract and its settlement, based on the provisions of tax and accounting law (legal basis: art.6 par.1 lit.c GDPR);
related to keeping accounting books and tax documentation – in order to fulfill the legal obligation pursuant to art.6 par.1 lit.c) GDPR in connection with art. 74 par.2 of the Act of 29 September 1994. on accounting; determination, investigation or defense of claims – on the basis of the legitimate interest of the data controller in accordance with art.6 par.1 lit.f GDPR;
internal administrative SafetyHeads, including statistics and internal reporting SafetyHeads that are the implementation of our legitimate interest (legal basis: art.6 par.1 lit.f GDPR);
archival (evidence) being the implementation of our legitimate interest in securing information in the event of a legal need to prove facts (legal basis: art.6 par.1 lit.f GDPR);
in order to possibly determine, investigate or defend against claims which is the implementation of our legitimate interest (legal basis: art.6 par.1 lit.f GDPR);
handling complaints, if they are filed, on the quality of performance of services arising from the concluded contract by SafetyHeads (legal basis: art.6 par.1 lit.b GDPR).
Your personal data may be disclosed to:
SafetyHeads employees and associates in connection with the execution of official duties;
SafetyHeads service providers;
entities authorized under the law.
SafetyHeads will not transfer your personal data to recipients located outside the European Economic Area.
Your personal data will be stored for the duration of the contract, and in addition for the time required by the relevant provisions of law regarding the storage of accounting and tax documentation or for the period of limitation of claims specified in law. In the case of processing personal data based on we may process data expressed by you voluntarily until you withdraw your consent in this regard or we determine that they have become outdated.
You have the right to access your data and the right to rectify, delete, limit processing, the right to transfer data, the right to object to data processing, the right to withdraw consent at any time for any reason, without affecting the lawfulness of the processing based on consent before its withdrawal.
In the case of processing personal data based on consents, you have the right to withdraw your consent at any time by contacting SafetyHeads in writing directly at the registered office address or at the address: dpo@safetyheads.com, without giving any reason, and without affecting the lawfulness of the processing based on consent before its withdrawal. If we exercise this right, we will cease processing the data for the purpose previously covered by the consent.
You have the right to lodge a complaint with the President of the Office for Personal Data Protection, if you consider that the processing of your personal data violates the provisions of the GDPR.
You have the right to object to the processing of your data on the basis of a legitimate interest described above at any time. We will stop processing your data for these purposes, unless we can prove that in there are important legitimate grounds for these data that override your interests, rights and freedoms, or the data will be necessary for us to determine, assert or defend claims.
Providing personal data by you is voluntary, but necessary for the purposes of executing the contract.
You will not be subject to automated decisions (without human intervention). Your personal data will also not be used for profiling.
